Meeting minutes: September 13, 2016
  • Attendance: 9 full members (quorum not met)
  • We reviewed the minutes from August 9, 2016, but will defer voting the minutes in until the next monthly meeting.
  • Space cleanliness:
    • Thank you to Albert and Leah for cleaning everything up to get us started.
    • Make sure to clean up any mess you make and any mess you may find.
    • We will be planning a regular cleaning schedule for important things.
  • Financials: James forgot to bring financial statements. He will bring them to the next general meeting to be reviewed.
  • Membership:
    • Jordan Yowarski and Jack Vu have both cancelled their PayPal payments.
  • Acknowledgements:
    • Thank you to everyone who came out to help move!
    • Thank you to Albert and Leah for cleaning up the old and new spaces.
    • Thank you to Andrew for getting the network wired.
    • Thank you to Scott for arranging the lease, construction, internet installation.
    • Thank you to Albert for taking care of the sale of the desk.
    • Thank you to Randy and Scott for working on our new door and equipment access.
    • Thank you to Rob and Rylan for helping to build the wall for the dirty space.
  • Laser cutter agreement:
    • The donation and the sale have been finalized: we now own it!
    • It still needs ventilation built and installed. Rylan has some good ideas of how to work on it, but we aren't sure when he will be able to work on it. We started discussing with our furnace guy, but we didn't yet get a quote from him.
  • Bylaws: Still on hold. First draft planned for November.
  • Website: Minor changes. Student rate added. James updated donation page to list this year's donors. Kurtis thinks we should still list people who have donated in past years.
  • Advertising: No work done; busy moving into the new space.
  • Fundraising: We raised $1000 of the $1200 that we were looking for. We could still use more over the coming months. Please provide any extra you can afford.
  • Social events:
    • We have a movie night planned for Friday October 14th.
    • We would like to hold an open house as a grand opening for our new space on November 19th. Need volunteers to help organize. James, Scott, and Jeremy Rans will help out. No volunteers to be a coordinator. The idea will be postponed until we can find an organizer.
    • John would like to get members involved in our own 2×4 challenge. Several people mentioned interest. John is willing to organize. Peter volunteered to help out. Thinking to do it in December.
  • Workshops:
    • Albert is presenting his 3D modelling workshop at ETC Makerspace tomorrow.
    • John is still planning to hold his soldering workshop the third week of October.
    • James is still planning to present at Sask Polytechnic on September 20th.
    • Albert will host a combat robotics workshop on October 1st. It will be announced at SaskExpo.
    • Albert still plans to hold workshops on milling and laser cutting.
    • Scott will do a soap making workshop once everything is settled down at the shop.
  • Collaboration with outside groups:
    • We have ongoing workshops and talks with ETC Makerspace and Sask Polytechnic
    • John is in contact with USSU, SESS, and other groups at the U of S. Kurtis knows somebody involved with the IEEE robotics club.
    • Erik says Future Ops at Saskatchewan Chamber of Commerce would likely be interested in us. James says to have them talk to Albert to arrange to come visit us.
  • We need to put together a maintenance plan for our equipment. Albert has agreed to help plan the maintenance. We also want to assign people to be the main contact for maintenance on each machine. Scott, Peter, and Erik are all willing to help out.
  • Rylan has offered to bring in his lathe and air compressor. The lathe includes chucks, tools, coolant. Rylan also offered to teach people how to use the lathe. He recommends we implement our planned lock-out system so that only trained people may use it. All attendees would like to see them here.
  • Safety: We would like to put up signs with warnings about PPE and special procedures of how to properly use equipment. Group agreed it could be part of the maintenance.
  • New space rules:
    • Front door is to remain locked at all times, except on open house nights when members are in attendance.
    • Lock the back gate when you leave.
    • Leave the lights on in the clean room, because it is currently connected to our neighbour. It will be fixed soon.
    • Avoid overfilling the Loraas bin because it is shared with our neighbours.
  • Suggestion: Add a doorbell and light to our outside door.
  • Materials storage:
    • Please do not leave any materials at the space. Bring any materials home with you. We will be establishing some storage space for rent for people who wish to have a place to store materials at the space.
    • Cleaning procedure: If you find material or tools that you think shouldn't be at Techworks (unwanted), put it in the purgatory box. We will review the contents at the end of each general meeting. Anything that isn't wanted will be returned to the owner, if known, or else it will be sold or disposed of as appropriate.
  • John reviewed the list of space renovations done, in progress, and still to-do.
  • New business:
    • Try to make meetings shorter. Focus on what needs to be said, any questions that need to be answered, and move on.
    • Let's get meetings started on time. Let's only wait 5-10 minutes.
    • Andrew thinks light is insufficient. Scott says lighting will be moved once the ventilation is in.
